Understand workspace roles, shared connections, routine ownership and offboarding.

One credit balance for the workspace

Teammates share the workspace's credits. There are no per-person seats to buy. People joining an already configured workspace do not repeat its setup.

Workspace roles still matter. Members can use the product within their access; owners and admins manage controls such as billing and Slack reply permissions.

What someone can use

Slack context depends on the conversation and channel membership. A public-channel answer cannot pull in another private channel's history. Channels and access explains the cases.

Connected apps may be personal, shared with the team, or restricted to documents the requester can already access. A teammate does not always need their own connection. Review How connections work before sharing an account.

Routines have an owner and explicit Read or Edit access. Seeing a report in a channel does not automatically let someone change the routine that produced it.

Onboarding a teammate

Ask them to sign in with Slack, check which workspace is selected, and try a real question in a channel where OpenTag can reply. Point them to the wiki and the available shared integrations.

For personal email or another private account, they should connect their own account and review its sharing settings.

Offboarding

  1. Identify routines owned by the person and the connections those routines use.
  2. Review shared integrations and revoke access that should no longer be available.
  3. Remove the person's workspace access through your normal offboarding process.
  4. Have an admin recover any routines whose owner has left, review their instructions, authorise the new owner's connections, and resume them.

An active owner's routine cannot simply be reassigned. After the owner leaves the workspace, an admin can use Make me the owner. Recovery pauses the routine until the new owner reviews and authorises it. It does not transfer the former owner's private run details. See Managing routines.

Reviewing usage

Usage shows credit spend by teammate. Select a person to inspect their usage, including requests and routines. The rolling 30-day usage view can differ from the billing cycle's balance.
